Document names Answered

Rick D.

Hi - what naming convention should I use for documents?

Right now my local files have descriptive but varying titles. I feel like my users might be better able to identify content if I follow some sort of established system for names.

Recommendations?

    Hi Rick,

Great question! The organization and naming of documents in a Virtual Data Room (VDR) like Intralinks can significantly impact the efficiency and effectiveness of your due diligence process. An intuitive naming convention makes it easier for users to identify and access the information they need, without delay. Here are some recommendations to help streamline your document management:

    1. Use a Consistent Format: Start with a standard format that applies to all your documents. A common approach includes beginning with the date (in YYYYMMDD format for global comprehension), followed by a clear and concise descriptor of the document's contents, and a version number if applicable. For example, "20231205_MergerAgreement_v2.pdf".
    2. Avoid Special Characters: Stick to using letters, numbers, and underscores. Special characters can cause issues, especially if files need to be downloaded or accessed via different operating systems.
    3. Keep it Short and Simple: While it's important to be descriptive, excessively long names can be cumbersome. Try to strike a balance between being informative and concise. Abbreviations that are well-understood within your organization can be helpful, but make sure these are standardized and avoid overly cryptic abbreviations.
    4. Version Control: If a document will go through several rounds of revisions, include a version number at the end of the file name (e.g., "_v1", "_v2"), and decide on a standard way to denote final versions, such as "_FINAL" or "_APPROVED".

By implementing a uniform naming convention, you'll make the process more intuitive for your users, reducing the risk of confusion and improving the overall efficiency of your document management processes within the VDR environment. Intralinks offers great features to organize and manage your documents effectively, and applying these document naming practices will complement those functionalities.

Hope that helps, Rick! Best of luck with organizing your documents.

    Cheers,
