Secure Viewer is Intralinks' browser-based secure document viewer. Secure Viewer provides additional protections beyond those offered by the standard document viewer: Secure Viewer does not allow print screen, copy and paste, or the printing of documents. You have the option to require exchange members to view PDF and Microsoft Office documents in Secure Viewer; if you enable this option, exchange members will not be allowed to download these documents. A number of exchange settings give you flexibility in deciding how and where documents are displayed.

If you enable Secure Viewer, exchange members will open protected PDF and Microsoft Office documents in a secure browser-based document viewer. Secure Viewer can be required for both protected documents and documents that are not protected. 

Secure Viewer can be required for each of the following document types:

  • Portable Document Format (PDF)
  • Microsoft Word
  • Microsoft Excel
  • Microsoft PowerPoint

Each of these file types can be enabled separately. You could require Secure Viewer only for Microsoft Word, for example. You can require that Secure Viewer be used by all viewers, or you can give exchange managers the option to view documents in their native application. 

If you use Secure Viewer only for protected documents, other documents are displayed in a browser, or an app, depending upon how each person’s browser and software are set up.

Protected video files are opened in the standard viewer.

Setting up Secure Viewer

Use these steps to display and change the exchange settings for Secure Viewer.

  1. Click the Settings icon.
  2. From the menu, select Exchange Settings.
  3. In the screen that appears, locate the View & Download option on the left side of the screen, and click it.
  4. Once the View & Download view of the Exchange Settings screen is displayed, you can use the settings that appear there to manage how, and whether, documents are displayed.

Display Documents in the Browser using Secure Viewer

If this setting is enabled, all protected documents except Excel spreadsheets are displayed in Secure Viewer. Additional options appear when this setting is enabled.

If you enable this option and make no other changes to Secure Viewer settings, protected documents other than Excel spreadsheets will open in Secure Viewer, but users will have the ability to download the documents. Excel documents will continue to be downloaded, but users will have the ability to display them in Secure Viewer.

Use Document Blur to Prevent Print Screen

When this setting is enabled, the Intralinks application is blurred whenever users select another screen or attempt to make a screenshot of the Intralinks screen. Although this setting increases security, it can interfere with users' ability to review documents and take notes in another application.

If you do not want the Intralinks screen to be blurred, be sure this setting is disabled.

Prevent Downloading of Selected Document Types

You can prevent exchange members from downloading specific types of documents. If downloads are prevented, exchange members are required to view the documents in Secure Viewer. You can prevent downloading of protected documents, or of all documents, of the selected types. Exchange members also cannot copy text from documents that cannot be downloaded.

If you select this option, be sure to select at least one document type from the list below this setting.

Allow Downloading of Documents that Cannot be Viewed Using Secure Viewer

Sometimes documents cannot be displayed in Secure Viewer because of their size or another issue. (See the Limitations of Secure Viewer section below.) You can allow either all exchange members or only managers to download these documents and view them in a PDF reader or Microsoft Office.

Important! If you do not allow exchange members to download these documents, the members will not be able to view them, even though you have given the members permission to do so. Exchange members will be able to see the documents but will not have any way of opening them.

Limitations of Secure Viewer

Some documents cannot be opened in Secure Viewer because of their size or other limitations. These include:

  • Microsoft Office documents larger than 150MB
  • PDF documents larger than 500MB
  • Document types other than .pdf, .doc, .docx, .docm, .xls, .xlsx, .xlsm, .ppt, pptx
  • Documents that are password protected or corrupted

Documents cannot be printed from the Secure Viewer. You must download them and print them from their native application.

If you allow documents to be downloaded, exchange members can view them on their desktops. (In some cases, corrupted files can be opened after downloading.)
