Changes to scheduled reports and data extracts in Next Generation VIA Pro experience

If you receive scheduled reports or extracts from Intralinks, especially if you feed them into an automated process on your side, this article outlines the changes you may see following the Next-Generation VIA Pro upgrade on 29 August

These changes affect the structure and content of your report data, not the reports themselves. You will continue to receive the same reports, but some fields and values may look different. 

What may change

  • New user ID formats – We are updating numerical user IDs to longer alphanumeric IDs. For example, 12345678 to 00045955-5cd8-4bee-a1b9-de94578b1037. You might see your old ID listed next to your new one during this update.
  • New report columns – Reports may include extra columns to show the business group or workspace to which an item belongs, using the new alphanumeric IDs.
  • Empty fields in reports – A few fields such as Template IDs, Template names, Host, and Phase may appear empty or as null. The new platform does not support these concepts.
  • Renamed fields – Some field names may change. For example, contract fields may appear under a different name.
  • Updated user profile details – Profile details such as your name, phone number, or organization now come from a new internal source system. You might notice small differences in how this information appears.
  • Fewer report rows – Reports will no longer list deleted items such as deleted workspaces, users, documents, or groups with inactive workspaces. As a result, the total row counts in the reports may be lower than before.
  • Minor layout and formatting changes – The general formatting of your reports may look slightly different post-upgrade.  We recommend you review your first report after the upgrade.

What to do now

If you use any automated processes that process, read, or reconcile data from scheduled reports, we recommend reviewing your workflows before August 29. This is especially important for any process that depends on specific columns, field formats, or identifiers.
