Saved prompts
Saved Prompts in Ask Link lets you create, manage, and reuse Link prompts across deals. Instead of creating the same prompt for each deal, you can save it and run it whenever you need it. You can also organize prompts and share them with your entity.
Saved prompts support a complete prompt lifecycle including creating prompts, saving drafts, sharing prompts, running prompts, and reviewing run outcomes. The feature supports both Private and Entity prompts.
Saved prompts are available to deal administrators and authorized DealCentre AI users with access to Ask Link.
The actions available to you depend on whether you own the prompt or are using a shared prompt.
Note: Buyers and sellers may not have the same access to Ask Link features. For more information about enabling and disabling AI features, see Creating and managing deals.

- Reuse frequently used prompts
- Perform consistent document analysis across deals
- Organize prompts by category
- share prompts with other deal users in your entity
- Save prompts as drafts until they are ready to user
- Track prompt usage and run history
- Export prompt results for offline review
Prerequisites
Before using saved prompts:
- Ensure that you have access to Ask Link. Ask Link availability depends on your role in the deal. If Ask Link does not appear in your deal, it may have been disabled by the deal administrator.
- Ensure that you have access to the deal and deal documents.
Note: You can edit or delete only prompts that you own. To modify an Entity Prompt, create your own copy by using the Use This Prompt option.
Saved prompt views
Saved prompts provide three views to help you find and manage prompts.
All saved prompts
The All Saved Prompts view displays every prompt available to you.
This view includes prompts created by you and Entity prompts shared with your entity.
You can use this view when you want to browse or search across all available prompts.
My prompts
The My Prompts view displays prompts that you own.
This includes prompts created by you and entity prompts you copied by using Use This Prompt.
From this view, you can:
- View prompt details
- Edit prompts
- Save drafts
- Run prompts
- Delete prompts
Changes made to a copied prompt do not affect the original entity prompt.
Entity prompts
The Entity Prompts view displays prompts shared with your entity.
Entity prompts help users reuse approved prompts across multiple deals.
You can:
- View prompt details
- Run the prompt
- Copy the prompt to your My Prompts view
You cannot edit or delete the original entity prompt unless you are its owner.
Prompt Types
Saved prompts support the following prompt types:

Private prompts
Private prompts are available only to the user who created them. You can use a private prompt when the prompt is intended for personal use. Private prompts can be edited, run or deleted.

Entity Prompts
Entity prompts are shared with users in your entity. You can use an Entity prompt when you want other users to reuse the same prompt. Only the prompt owner can modify the original prompt

Adopted prompts
An adopted prompt is a personal copy of an Entity prompt. You can create an adopted prompt by selecting the Use This Prompt option. An adopted prompt is added to the My Prompts view. It can be edited, run, and does not modify the original Entity prompt. An adopted prompt cannot be converted back into an Entity prompt.
Prompt information
Each saved prompt includes information that helps you identify and use it.
A prompt can contain the following information.

| Share Settings | Indicates whether the prompt is Private or Entity |
| Role and Expertise | Provides additional context for the prompt |
| Prompt Instructions | Defines the questions that need response or instructions that are to be executed |
| Prompt Examples | Provides sample prompts that you can use a starting point |
| Scope and Data | Specifies whether the prompt runs against a file or selected files |
| Output Format | Defines how results are returned |
| Owner | Identifies the user who created the prompt |
| Created Date | Shows when the prompt was created |
| Usage Count | Shows how many times the prompt has been used |
Search, filter, and sort prompts
You can use the saved prompts library to locate prompts quickly
You can:
- Search by prompt name
- Filter prompts by category, owner, prompt type, creation date
- Sort prompts using the available sort options
Applied filters remain visible until they are cleared.
Draft prompts
You can use drafts to save prompts that are not ready to be published.
Draft prompts are available only to the prompt owner. You can edit, publish, or delete a draft prompt.
If you leave a draft with unsaved changes, Ask Link displays a message asking you to save or discard your changes.
Prompt ownership
Prompt ownership determines the actions that are available.
Prompt owners can:
- View prompts
- Edit prompts
- Run prompts
- Delete prompts
Other users can:
- View entity prompts
- Run entity prompts
- Copy entity prompts to the My Prompts view
Prompt lifecycle
A saved prompt typically follows this lifecycle:
- Create a prompt.
- Save it as draft or publish it.
- Save it as a Private or Entity Prompt.
- Find the prompt in the Saved Prompts library.
- Run the prompt against your deal documents.
- Review the run outcome
- Export the results, if required.
- Update or remove the prompt, when it is no longer needed.
