Q&A - Collaborative proposed answers
A new collaborative proposed answers feature is available in Q&A. Instead of multiple SMEs submitting separate proposed answers, Q&A administrators and assigned SMEs can now create, co-edit, and maintain a single shared draft before submitting the response to the buyer.
The shared draft acts as a single source of truth and enables real-time collaboration to reduce the effort required in consolidating multiple responses. Q&A administrators or SMEs can both initiate draft responses using their own knowledge or Link-generated suggestions. Additionally, answers can be saved using the Save button or can be saved with notifications using Save & Notify All button. The response is locked after it is submitted for approval to the Q&A administrator.
This enhancement allows SMEs to review and refine the content before approval and improves answer quality, consistency and collaboration throughout the Q&A process.
Q&A - Approval workflow
A new Approval column for auto-delegation is available in the Sell-Side step of the Q&A Configuration workflow. It allows Q&A administrators to assign one or more approvers for Q&A responses before they are released to buyers. Individual approvers are selected for each Q&A category.
Approvers can include deal members such as Q&A administrators, deal team group members, third party users, seller administrators, or seller group members.
When a response is submitted for approval, the assigned approver can either approve or reject it. If approved, the Q&A administrator can release the response to the buyer. If rejected, the response is returned for revision and can then be resubmitted for approval.
This update ensures that Q&A responses are reviewed and approved before they are published.
Buyers - Saving modifications on protected Excel
A new Allow Buyers to Save Changes to Protected Excel Files toggle is available at the deal level Settings under Documents. It is disabled by default.
When the toggle is enabled, buyers can edit protected Microsoft Excel files directly within the Excel viewer. They can save their changes as a private version by downloading the edited version and without modifying the original file. Each buyer can maintain one personal version of each document, while the original file remains protected and unchanged.
Buyers can share a link to their modified version only with authorized members of the same buyer group, provided they have permission to access the original document. Any changes to the modified version made by another buyer create that buyer user's private version without affecting the shared link. The access to the modified version is removed if the buyer user loses the access to the original document or leaves the buyer group.
This enhancement allows buyers to edit and annotate protected Excel documents without modifying the original document and keeping full access control with deal administrators and sellers.
Ask link - Saved prompts
Saved Prompts are now available for all deal roles that have access to Ask Link. The feature enables users to create, save, edit, organize, and reuse Ask Link prompts across deals.
There are three types of prompts:
a. Private prompts are created and owned by individual users and are visible only to their creators. These prompts can be edited, run, and deleted by the owner.
b. Entity prompts are shared prompts available to the authorized users within the organization (Entity). Deal users (except buyers) can view and run these prompts, but only the prompt owner can edit or delete the original entity prompt.
c. Adopted entity prompts are personal copies created by selecting Use This Prompt from an entity prompt. They are owned by the user who adopts them. These prompts can be edited and run independently.
Deal users can manage private prompts, save drafts, and adopt shared Entity prompts into their personal prompt library.
Deal users can run prompts against all files or selected documents. They can also view prompt run history, manage run outcomes, and export results to Microsoft Word and Excel.
Buyers can create, manage, search, and reuse only their own private prompts. They cannot view, share, or adopt prompts from other users or entities.
This enhancement provides a simple and secure prompt management experience for all deal users including buyers.
Documents tab - Supported actions on right-click
Right-click context menus are now available in the Internal Documents tab in the Marketing area and the Documents tab in the Preparation and Diligence areas. Additionally, right-click menus are available in all quick filter views. This applies to all deal users including deal administrators, third party users, seller members, and buyer members. The available right-click actions depend on the document's current state, the user's permissions, and the area in which the document is available.
Users can right-click a folder or document to access supported actions, such as Download, Rename, Copy, Move, Delete and other actions that were available only through bulk actions toolbar or Actions column menu.
The existing bulk actions toolbar menu bar and Actions column remain unchanged allowing users to continue using their preferred workflow.
This enhancement reduces unnecessary clicks and improves efficiency to manage large document collections.
Deal overview dashboard
The deals Overview dashboard is redesigned and now has four widgets:
- Documents Overview - Allows to visualize folder distribution, file types, document health and redaction status
- Users and Groups - Summarizes user access, group configuration, and pending invitations
- Document Requests Status - Provides a visual breakdown of request statuses, overdue requests, and pending high-priority items
- Go-Live Readiness Checklist - Tracks required critical activities before a deal goes live. This widget is available only before a deal goes live and is hidden once the deal is live
The existing features such as Add Deal Details, Summary, Primary Contact, Notes, and Manage Your Deal are retained.
This enhancement provides deal administrators with a comprehensive high-level view of deal progress without the need to navigate across multiple deal areas.
Search within document contents
The content search using the Search bar within the Internal Documents in the Marketing area and the Documents tab in the Preparation and Diligence areas is now enhanced. All authorized deal users can search not only document names but also the contents of the supported PDF, Microsoft Word, and Microsoft Excel documents.
They can search for words, phrases, or expressions across documents and receive a list of matching files. When a deal user opens the document from the search results, the matching text is automatically highlighted. Previous search queries are also retained under Recent searches in the Search bar.
This enhancement reduces review time and improves efficiency during due diligence and document analysis.
