File actions and reporting in a workspace | VIA Pro

Applies to: Workspace owners, editors, and viewers

This article explains actions that can be performed inside a workspace.

Note: Actions that can be performed inside a workspace, including viewing file access reports, depend on the workspace role that you have.

Icons_Approved.svg How to rename a file

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name. 
  3. Click the three-dot menu in the Actions column for the specific file.
  4. Select Rename.
  5. Enter a new name in the text field (up to 250 characters). The file extension is shown separately and cannot be changed.
  6. Click Rename to confirm.

Note: Editors can rename the files they uploaded.

Icons_Approved.svg How to add a comment to a file

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name. 
  3. Click the three-dot menu in the Actions column for the specific file.
  4. Select Add Comment.
  5. Type your comment in the text field (up to 4000 characters).
  6. Click Add Comment.

Note: Workspace owners, editors and viewers can add comments. Comments are sent by email. Include sensitive information with caution.

Icons_Approved.svg How to copy link to a file

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name. 
  3. Click the three-dot menu in the Actions column for the specific file.
  4. Select Copy Link to File.

Note: Workspace owners, editors, and viewers can copy link to a file. 

Icons_Approved.svg How to view the file access report

 The file access report shows who accessed the file, when, and the action that was performed on the file.

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name. 
  3. Click the three-dot menu in the Actions column for the specific file.
  4. Select File Access Report.

Note: Only workspace owners can view the file access report.

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name. 
  3. Click the three-dot menu in the Actions column for the specific file.
  4. Select File Access Report.
  5. Click Export in the right panel.

Note: Only workspace owners can export the file access report.
