Applies to: Workspace owners

Watermarks are set at the workspace level by workspace owners and are displayed in the viewer. By default, watermarks are disabled.

Watermarks are applied to PDFs when they are viewed or downloaded. Watermarks apply to Microsoft Office documents when they are viewed online and have Information Rights Management (IRM) protection. 

PDF files greater than 500MB or Microsoft Office files greater than 150 MB cannot be watermarked.

  1. Click the VIA icon on the top-left of the screen.
  2. On the Workspaces page, click the workspace name.
  3. Click the Settings icon at the top of the page next to the workspace name.
  4. Click Watermark Settings.
  5. Toggle Apply watermarks to files in this workspace. Select which documents to watermark - 
    • All PDFs, or
    • Only PDFs with IRM protection
  6. From the Text Displayed section, select a combination of:
    • Custom Text (upto 60 characters)
    • User name
    • Download timestamp
    • Document name
    • Company name

      Note: The options selected from this section will be displayed in order for the watermark.

  7. Choose Additional Text Options.
  8. Select Text Position for the watermark.
  9. Select a Color.
  10. Set the Opacity.
  11. Review the preview on the right.
  12. Click Save.
