When documents are uploaded, they are scanned for sensitive information. When you upload a PDF document with fewer than 500 pages, you can manually redact sensitive information.

In the Preparation area, you can open the document in the redaction view and select the text you want to remove. While you are marking up the document, a draft is saved every minute.

You can also select Save Draft to save more often. When you apply the redaction, all marked information is permanently removed, and the document status changes to Redacted.

Deal administrators can also configure redaction settings and perform bulk redaction. For more information, see Redacting documents in bulk.

Redaction toolbar

The redaction toolbar has the following options:

  • Search - Displays the search panel where you can search for text.
  • Markup details - Displays the items selected for redaction pane.
  • Settings – Lets you configure how the pages will transition, the page layout, lets you rotate the page, and lets you view the document in full screen mode (press the ESC key to exit full screen mode).
  • Scroll document – Enables document scrolling.
  • Select - Lets you select text and displays a toolbar that lets you copy the text, highlight, underline, strikeout the text, mark the text for redaction, or link the text to a URL or page.
  • Zoom out – Reduces the selected area of the display.
  • Zoom in – Enlarges the selected area of the display.
  • Fit to width – Lets you select how much of the page to display.
  • Manual markup – Enables manual markup.
  • Download - Downloads the document.
  • Print - Prints the document.

Redact documents manually

Display redaction view

  1. Click the DealCentre icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. From inside your deal, click the Preparation icon DCAI prep icon.png on the left side of the screen.
  3. Locate the document you want to redact and click the three dots menu in the Actions column, then select Open in Redaction View.

The document opens in the redaction view. The Selected for Redaction pane is displayed, showing all items identified for redaction and grouped into the following sections - Link Recommendations, Custom Terms, Do Not Redact, Marked Up Using Search, and Manually Marked.

  • Link Recommendations - Items found by Link, such as Names of people and Company Names. 
  • Custom Terms - Specific terms configured for redaction.
  • Do Not Redact - Terms excluded from redaction.
  • Marked Up Using Search - Items marked for redaction using the search function.
  • Manually Marked - Items you have manually selected for redaction, with sub-sections for Marked for Redaction and Marked as Do Not Redact. 

To view and modify categories for redaction

  1. From within the redaction view, click Review Configuration in the Selected for Redaction panel to view items found in unselected categories. The Configure Markups dialog opens with three tabs.
  2. Click Link AI Recommendations to view the selected categories. You can use the check boxes to select or deselect any category. Click the trashcan icon next to a category to remove it from the redaction list.
  3. Click Custom Terms to display the specific terms configured for redaction, grouped by type (for example, People, with Last Name and First Name as Whole Word matches). Select the terms you want to mark for redaction in this document.
  4. Click Do Not Redact Terms to display terms that are excluded from redaction.

Apply redaction

  1. From within the redaction view, you can redact items using mark up and remove redacted items in the following ways:
    • Manually mark items for redaction - Click the manual markup tool and highlight items that you want to mark for redaction. When you select a marked item, a toolbar appears with the following options:
      • Mark on All Pages - Marks the same term wherever it appears across all pages.
      • Mark All - Marks all instances of the term in the document.
      • Style - Changes the appearance of the redaction markup.
      • Delete - Removes the markup from the selected item.
    • Mark items for redaction using search - Click the search icon, enter the term and search for it. To mark it for redaction, click the select button, and click Add to Marked Up Using Search.
    • Delete markup from items - In the Selected for Redaction pane, click the trashcan icon next to the markup that you want to remove. The Selected for Redaction pane tracks all marked items, organized by source - Link Recommendations, Custom Terms, Do Not Redact, Marked Up Using Search, and Manually Marked.
  2. When you are ready to redact the document, click Apply Redactions
  3. Click Redact to confirm.

All marked information is removed, and the status of the document is changed in the Preparation area to Redacted.

Note: If a document was previously redacted, you do not need to unredact it and redact it again. You can open it using the Open in Redaction View from the Actions column. Click the Make Changes button, make changes to the existing markup, and click Apply Redactions.

In addition to removing redaction from individual items as described above, you can remove all redaction from a document. When you remove redaction, all previously redacted information will become visible in the document. If the document has been pushed to diligence, buyers will be able to see previously redacted information.
  1. Click the DealCentre icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Click the Preparation icon DCAI prep icon.png on the left side of the screen.
  3. Click Documents.
  4. Select the document from which you want to remove redaction.
  5. From the three dots menu select Remove Redaction.
  6. (Optional) Mark the box next to Remove appended suffix for x documents.
  7. Click Remove Redaction again to confirm.
