Redacting documents in bulk | DealCentre AI

Applies to: Deal team, Sellers with management rights (when applicable), and Third parties

If you are a deal administrator, seller with management rights, or a third party user, you can enable AI redaction, configure redaction settings, and apply redactions across multiple documents at once. You can select up to 100 PDF documents, each with up to 500 pages, and apply redaction in bulk.

Note:

  • Personally Identifiable Information (PII) is any sensitive information that can be used to identify a user. Examples of PII are full name, phone number, email address, government ID, date of birth, bank account number, biometric information, and IP address.
  • Identification and redaction of PII elements is supported only for English, French, German, Italian, Portuguese, Spanish, Greek and Swedish.
  • Identification and redaction of PII elements is not supported for Japanese, Chinese (Simplified and Traditional), Dutch, Turkish, Korean, Polish, Hebrew, and Arabic.

Enable redaction

Before you can configure redaction, redaction feature must be enabled. 

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Settings DC Settings icon.png icon on the left side of the screen.
  4. Click Link AI.
  5. Click Administrators and Sellers.
  6. Toggle the Link AI Sensitive Information Recommendation to enable it.
  7. Click Save

Note: Redaction is not available for buyers.

Redaction configuration controls what sensitive information gets marked for redaction in your documents. Only PDF documents with less than 500 pages can be redacted.

The Configure Redaction page has three tabs:

  • Link AI Recommendations - AI scans documents and suggests redaction based on categories you select
  • Custom Terms - add your own specific terms or phrases that AI may not detect
  • Do Not Redact Terms - add terms you want to be skipped during redaction.

Note: Redaction is not available for buyers.

Link AI Recommendations

This tab shows seven types of sensitive information. 

Select the ones you want AI to scan for - Address, Company Names, Dates, Email Addresses, Names of People, Phone Numbers, Other Identifiers.

You can select all categories at once using Select All.

Custom Terms

You can use this tab to add specific terms or phrases that Link AI may not pick up during redaction.

Each terms needs three fields:

  • Term - type or paste the term
  • Type - choose one or more options: Whole Word, Case Sensitive, or Regex
  • Alias - an alternative name for the term, for example, SSN for Social Security

You can group terms into Categories. Use Add Category to create a new group and Add Term to add terms within it.

Do Not Redact Terms

You can use this tab to add terms that you do want to redact.

These terms have the same Term, Type, and Alias structure as Custom Terms.

Configure redaction

When documents are uploaded, they are scanned for sensitive information. You can select the categories of information for which you want the platform to scan. PDF documents with fewer than 500 pages can be redacted.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Settings DC Settings icon.png icon on the left side of the screen.
  4. Click Redaction.
  5. On the Configure Redaction page, click Edit.
  6. On the Link AI Recommendations tab, select or deselect types of sensitive information you want to be suggested for redaction.
  7. To add a custom term:
    • Click the Custom Terms tab.
    • Click Add Category if needed. 
    • Click Add Term. 
    • Enter the term, select a type, and add an alias if required.
  8. To exclude a term from redaction:
    • Click the Do Not Redact Terms tab.
    • Click Add Category if needed. 
    • Click Add Term. 
    • Enter the term, select a type, and add an alias if required.
  9. Click Save

    Note: Changes apply only to documents uploaded after you save. Documents already uploaded are not affected.

You can redact up to 100 PDF documents at once. Each document can contain up to 500 pages. Redacted documents are skipped automatically.

Note: You must have enabled and configured AI redaction to perform bulk redaction.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Preparation icon DCAI prep icon.png on the left side of the screen.
  4. Click Documents.
  5. Check the box next to each of the documents that you want to redact.
  6. Click Redact in the menu bar. The Redact Documents dialog appears.
  7. On the Link AI Recommendations tab, review and select the sensitive information type to apply.

    Note: The options selected on the deal's Settings screen are displayed, but you can change these selections. You will see an informational message if documents are in Diligence and shared with buyers.

  8. (Optional.) You can rename the redacted documents.
    • Check the box labeled Append suffix to all document names.
    • In the Enter suffix field, type the desired suffix up to 32 characters. The default suffix is _Redacted.
  9. (Optional.) Turn on the Save selections toggle to save your selections. The configuration on the Settings screen will be updated.
  10. Click the Custom Terms tab and select any custom terms you want applied to this redaction.
  11. Click the Do Not Redact Terms tab and select any terms you do want to redact.
  12. Click Next.
  13. (Optional.) You can review the documents that you want to redact. Click X in the Action column to remove document(s) before redacting.
  14. Click Redact x Documents.

You can view the status in the Redaction column under Documents. Additionally, you will receive an email once redaction is completed.

There are four main statuses for bulk AI redaction:

Pending Redaction: The documents are in queue to be processed.​

Redacting: The redaction is in progress.​

Redacted: The redaction completed successfully.​

Not Redacted: The redaction could not be completed.​
