Intralinks DealCentre AI provides two options for viewing detailed usage information for your deal: the Usage dashboard and the Page Count Report. These tools can help you monitor changes in the number of document pages in diligence or the size of those documents.

The Usage dashboard provides real-time insights into billable page counts or space consumption, depending upon your organization's contract with Intralinks. You can use this dashboard to monitor and manage deal-related costs.

This information also is available on the Page Count Report, which can be viewed in a spreadsheet format.

The dashboard includes several key pieces of information:

Billable Usage – shows the current billable page count or storage usage

Billable Usage Over Time – shows usage trends over time

File & Page Count Breakdown – shows a summary of files and page counts within the deal

File and page count breakdown

The File & Page Count Breakdown section shows the total number of files, pages, and storage usage for each deal area. The Usage tab shows the file and page count breakdown as soon as you create a deal. The information updates in real time.

The dashboards groups usage into the following areas:

  • Diligence – Files that are available to buyers during the live diligence process. Files in this area contribute to billable usage
  • Preparation – Files that are still being prepared internally before they are shared in the Diligence area. Files that remain only in Preparation are not included in billable usage
  • Removed from Diligence – Files that were previously available in the Diligence area but were later removed. These files can still contribute to billable usage because they were visible during the live deal
  • Internal – Files that are available only to Internal team members. These files are not available to external users

For each area, the dashboard displays –

  • Total number of files
  • Total page count
  • Total storage size

The dashboard updates automatically as files are uploaded, replaced, converted, redacted, or moved between areas.

Display the Usage dashboard

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Analytics icon DCAI analytics icon.png on the left side of the screen. The Dashboard view is displayed.
  4. Click Usage.

The Page Count report can be used to help you understand the number of pages the seller organization is being billed for if their contract with Intralinks is based on the number of pages per deal. The report also can be used to determine the size of documents and folders before they are pushed from preparation to diligence. 

The report, which is delivered in Excel format, consists of four worksheets:

  • Internal
  • Preparation
  • Diligence
  • Removed From Diligence

Documents on the Diligence and Removed From Diligence tabs are considered billable. If you add page totals from these worksheets together, you will have the total billable page count. Billable pages may not match the actual pages in a document. For example, a 10-page document that was redacted has a billable page count of 20. Billable pages increase when documents are replaced, redacted, or converted to PDF format. Page count estimates are used to calculate page counts for formats other than PDF.

You can use the document IDs included in the report to locate events in the Activity Log that may have contributed to the billing calculation. If your contract with Intralinks is based on amount of space used for your deal, rather than pages, you can use this report to determine the total size in megabytes of your deal.

PDF files count actual PDF pages. Page counts are calculated for all other file types, based on file type and size of file. The calculated counts are used for billing only.

If the billing metric specified on your organization's contract for this deal is Pages, an information button is displayed in DealCentre AI that displays additional information about how pages are calculated.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Analytics icon DCAI analytics icon.png on the left side of the screen.
  4. Click Reports on the top navigation bar.
  5. From Standard Reports, click Select Report.
  6. Click the Export button next to Page Count Report.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Select the deal you want.
  3. Click the Analytics icon DCAI analytics icon.png on the left side of the screen.
  4. Click Reports on the top navigation bar.
  5. From Standard Reports, click View Generated Reports.
  6. To view the report, click the Download icon in the Actions column.
