This article explains the process for providing sellers or deal team access to documents in preparation area.

Icons_Approved.svg Sellers access or deal team access

Depending on how your deal is configured, document access in preparation area may appear as Sellers Access or Deal Team Access. Both labels refer to the same document access function.

Documents that are in the preparation area are permissioned by group. When permissions are assigned to a seller or deal team group, all members of the group will have the same level of access.

Documents can have the following permissions:

  • No access - Users in the group will not be able to see or access this document or folder.
  • View - Users in the group can view the document in the browser. Seller or deal team users will not be able to download and save the files locally.
  • Download - Users in the group can view the document in the browser, download it and save it locally.
  • Manage - This setting applies to seller or deal team groups. Users in the group can upload, create folders, delete documents, rename documents, convert to PDF, and redact documents. 

After you have set permissions, you can use the View As feature to view the documents list as a member of the selected group would. Use this feature to review your work and ensure that each seller or deal team group has access to the correct documents.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

    Select the deal you want.

  2. Click the Preparation icon DCAI prep icon.png on the left side of the screen. The Documents tab should be displayed.
  3. Click Sellers Access or Deal Team Access. If no seller or deal team has been added, you will be prompted to add one. For more information on sellers see, How to manage sellers and seller groups.
  4. (Optional.) To select the groups to which you want to give access, that is, display them in the grid, click Select Groups. Select the groups that you want to display and click Apply. You must select at least one group. You can select up to a maximum of 20 groups.
  5. Select one of the following options:
    • Permission files and folders individually: For each file/folder, click on the icon for no access, view, and download to assign permissions to the group. By default, no access is applied. Cells that have pending changes appear in yellow.
    • Permission the entire seller or deal team group: Hover over the group name and select the checkbox that is displayed. The column appears in blue. Select the permission to assign to the group.
    • Permission all seller or deal team groups to a folder or document. Hover over the folder or document name and select the checkbox that is displayed. The row appears in blue. Select the permission to assign to the group.
  6. Click Apply Changes.

Icons_Approved.svg How to copy permissions from one group to another

You can copy and paste permissions from one group to another group. This applies to both seller groups and deal team groups.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

    Select the deal you want.

  2. Click the Preparation icon DCAI prep icon.png on the left side of the screen. The Documents tab should be displayed.
  3. Click Sellers Access or Deal Team Access.
  4. Mark the box next to the name of the group from which you want to copy permissions.
  5. Select Copy and Paste Access.
  6. In the Select a Group field, select the group to which you want to apply the permissions.
  7. Click Apply Changes.

Icons_Approved.svg How to view documents from a seller or deal team group member's perspective

You can view documents from a group member's point of view to help confirm that you have set permissions correctly. There are several ways to access View As functionality.

From the Documents tab

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

    Select the deal you want.

  2. Click the Preparation icon DCAI prep icon.png on the left side of the screen. The Documents tab should be displayed.
  3. Click Sellers Access or Deal Team Access.
  4. Click View As.
  5. In the Select Viewpoint field, select the seller or deal team group you want. Click View as Selected Group. A blue bar is displayed at the top of the screen to indicate that you are in View As mode. Click Return to Seller Access Management or Return to Deal Team Access Management to exit View As mode.

From the Group Details view in either Sellers Access or Deal Team Access management screen

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

    Select the deal you want.

  2. Click the Preparation icon DCAI prep icon.png on the left side of the screen. The Documents tab should be displayed.
  3. Click Sellers Access or Deal Team Access.
  4. Click the group name.
  5. Click View As This Group. A blue bar is displayed at the top of the screen to indicate that you are in View As mode. Click Return to Seller Access Management or Return to Deal Team Access Management

     to exit View As mode.

From the Users And Groups tab

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

    Select the deal you want.

  2. Click the Users And Groups DC People icon.png icon on the left side of the screen.
  3. Click Groups.
  4. Click the group name.
  5. Click View As This Group. A blue bar is displayed at the top of the screen to indicate that you are in View As mode. Click Return to People to exit View As mode.
