Applies to: Entity administrators and group administrators

Contacts are people from outside of your organization to whom you can market your deals using deal Marketing. You can add contacts one at a time or you can add them in bulk using a Microsoft Excel spreadsheet.

Add an individual contact

  1. Display the deals list.

    If you are viewing a deal, click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.

  2. Click the Contacts icon DC Contacts icon.png on the left side of the screen.
  3. Click Create Contact.
  4. Enter the contact email address. Email is required.
  5. Select who can see this contact from the Available To field.

    • Entity Admin - all entity administrators can see the contact. This is the default value.
    • Entity Groups - all group admins of selected groups can see the contact.
    • Entity - all users within an entity can see the contact.

    Note:  Only Entity administrators see the Available To field. Group administrators do not see this field. Contacts they create are added to their group by default.

  6. Enter any other contact details. All other fields are optional.
  7. Click Create Contact.
  8. (Optional.) Click Create Another to save the contact and immediately add another contact.

Add contacts in bulk using a file exported from your CRM

You can use an XLSX or CSV file exported from your CRM and match the columns in your export file with those used by DealCentre AI. You also can add contacts in bulk by downloading an import template, completing it, and uploading it, as described in the previous procedure.

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Click the Contacts icon DC Contacts icon.png on the left side of the screen.
  3. Click Upload Contacts.
  4. Select who can see this contact from the Available To field.

    1. Entity Admin - all entity administrators can see the contact. This is the default value.
    2. Entity Groups - all group admins of selected groups can see the contact.
    3. Entity - all users within an entity can see the contact.

    Note:  Only Entity administrators see the Available To field. Group administrators do not see this field. Contacts they create are added to their group by default.

  5. Click Select File.
  6. Navigate to the file with the contact information and click Open. Note that you can only upload one file at a time.
  7. Click Match Columns.
  8. For each DealCentre AI field, use the dropdown list to select the matching column in your spreadsheet.
  9. Click Import. If an email address is missing for a contact, a message is displayed instructing you to review the spreadsheet for empty or invalid entries.
  10. Click Import.

Editing or viewing contact details

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Click the Contacts icon DC Contacts icon.png on the left side of the screen.
  3. Click the name or email of the contact that you want to view or edit.
  4. (Optional.) To edit the contact's details, click Edit.
    • Make your changes.
    • Click Save.

Deleting contacts

  1. Click the DealCentre AI icon DCAI product icon.png in the upper left corner of the screen to display the deals list.
  2. Click the Contacts icon DC Contacts icon.png on the left side of the screen.
  3. Select the contacts that you want to delete.
  4. Click Delete Contacts.
  5. Click Delete Contacts to confirm.

Group administrators have limited contact management access. 

  • Group administrators see only contacts created within their group or contacts an Entity Admin made available to their group.
  • Group administrators can create contacts. Those contacts are added to their group by default.
  • Group administrators do no see the Available To field. They cannot change contact visibility.
  • If a group administrator adds a contact with the same email as an existing contact, the original contact remains. The contact metadata updates with the new information.
